Plan Now, Breathe Later: Why May Is the Critical Month for School Technology Projects

Summer break looks long from May — but device lead times, vendor schedules, and compressed installations eat it fast. Why the schools with smooth August rollouts start their planning in spring.

From the middle of the spring semester, summer break looks like plenty of time. Ten weeks without students should be enough to upgrade a network, refresh classroom devices, and clean up accounts. In practice, that window shrinks quickly — and the schools that finish on time are almost always the ones that started planning in May.

Summer is shorter than it looks

Once you account for graduation, summer programs, facility work like floor refinishing, staff vacations, and teacher return dates, the true window for technology work is often closer to six or seven weeks. Every week lost at the beginning is felt in August.

Lead times start before school lets out

Hardware, networking equipment, and classroom displays can take weeks to arrive, and many schools order at the same time. Placing orders in May — rather than after the last bell — gives equipment time to arrive, be configured, and be staged before installation begins.

What to settle in May

  • Scope: which rooms, devices, and systems are part of this summer's work.
  • Inventory: what you have, what is aging out, and what can be redeployed.
  • Budget and approvals, so purchasing is not waiting on a signature in June.
  • Schedule: coordinate with facilities so technology and construction work don't collide.
  • Access: confirm who can open buildings and rooms during the summer.

Talk to staff while they're still here

May is the last easy chance to gather input from teachers and staff. Which displays are failing? Which rooms have weak Wi-Fi? What slowed them down this year? A quick survey or a few conversations now prevent solving the wrong problems over the summer.

The payoff in August

When planning happens in spring, summer becomes execution rather than scrambling. Devices arrive on time, installations follow a clear plan, and there is room for testing before teachers return. That is how a school starts the year with technology that simply works.
